Event Terms & Conditions

By registering for TheMHS Forum 2026 (including where you register on behalf of others), you agree to these Terms & Conditions.

Registrations close

Online registrations close 28 April 2026. If you want to register after this date, please contact us on +61 2 9810 8700 or email info@themhs.org. After this date, TheMHS will only accept over-the-phone registrations and payment must be made immediately by credit card.

Early bird registration

Early Bird Registration is available until midnight AEST 1 March 2026.

Concession registration

Concessions are available to anyone holding a valid concession card from any country. Please upload evidence (e.g. pension card, government benefits card or student card) during the registration process.

Concession rates also extend to all 18–25 year-olds to encourage youth participation. Please upload a valid ID showing your age.

If you are experiencing financial difficulty but do not have a concession card, you may email info@themhs.org. On a case-by-case basis, we may extend the concession rate and provide a specific discount code to register online.

Concession rates are excluded from all other promotions and discounts.

Disability support workers registration

TheMHS strives to make our events as accessible as possible. Support workers attending TheMHS Forum can apply for a complimentary registration. To register a support worker, please email info@themhs.org with the documents outlined below and we will provide a specific registration portal.

Support workers must provide:
  • Receipt of the delegate’s paid registration; and
  • A letter from their employer (on company letterhead) confirming their role as a support worker and the delegate they are supporting.
Please note:
  • Registrations are limited to one (1) support worker per day, per delegate.
  • The delegate must register and pay before registering their support worker.

Complimentary registration

Complimentary registrations are non-transferable and may only be used by the person they are allocated to. If another person uses a complimentary registration issued in someone else’s name, they may be charged for the day(s) attended.

Group discount

If you would like to register 5 or more delegates from the same organisation, please contact conference@themhs.org. Group bookings of 5 or more delegates receive a 5% discount.

All delegates must be from the same organisation. Exhibitors and concession registrations are not eligible and must be registered separately. Group discounts cannot be used in conjunction with other promotions or discounts.

Payment

  • Individual registrations can only be paid by credit card.
  • Group registrations can be paid by credit card or EFT/bank transfer.

Group payment timeframes

  • Early Bird payments must be received by midnight AEST 1 March 2026.
  • All other payments must be received by COB 28 April 2026.

Any invoices issued after 28 April 2026 must be paid immediately by credit card. If payment is not received prior to the event, access will only be granted once full payment is made by credit card on-site. Please include the invoice number in your payment reference so we can reconcile your payment accurately.

General cancellation policy

  • Up until 17 April 2026, you may email info@themhs.org to nominate a substitute delegate at no additional charge.
  • Substitutions will not be accepted after 17 April 2026 (three weeks prior to the event).
  • 100% refund (less a AU$120 administration fee) if notified in writing by 20 March 2026 (six weeks prior).
  • 50% refund (less a AU$120 administration fee) if notified in writing by 3 April 2026 (four weeks prior).
  • No refunds apply after these dates, except at the discretion of TheMHS Learning Network. Late applications are assessed case-by-case and TheMHS’ decision is final.
  • If a delegate from a group of 5+ cancels and the group falls below the minimum, the group coordinator will be invoiced for the difference in the discounted amount.

Privacy

Information collected through registration will be used to administer the event. Your name and contact details may also be used to notify you of future mental health-related events organised by TheMHS. If you do not wish to receive such notifications, please email info@themhs.org.

CPE attendance certificate

An attendance certificate will be emailed to you in the week after the event. Certificates are issued in the name of the registered delegate only.

Photography & recording

Photographs may be taken during the event and used for promotional purposes. If you do not wish to be photographed, please email info@themhs.org. You may also request a “no photography” sticker for your name badge at the registration desk on-site.

TheMHS may record presentations during the event. Recordings will be made available to delegates after the event and may also be used for promotional purposes.

Intellectual property

Some speakers may agree to share slides and webcasts (where available) with delegates only. This content is not intended for wider distribution. Sharing, broadcasting, copying, or otherwise reproducing this content is not permitted. Please respect speakers’ intellectual property so we can continue to offer similar content at future events.

Insurance

Any travel and accommodation arrangements you make are at your sole risk. To the extent permitted by law, TheMHS is not liable for those expenses in any circumstances. We recommend booking options that allow changes or cancellation with appropriate refunds.

We also recommend you obtain appropriate insurance (if available) to cover travel, accommodation, and registration fees if you are unable to attend for any reason. The event organisers will not be liable for any participant failing to take out their own insurance.

Delegates under 18 years old

Definition: A child is any person under the age of 18.

Delegates aged 16–18 may attend only with specific permission from TheMHS. Please contact info@themhs.org to request approval. Please note: TheMHS events are designed primarily for adults.

TheMHS is unable to provide creche or child-minding facilities on-site.

Registering for others

If you register yourself and/or another person for the event, you confirm you accept these Terms & Conditions in your personal capacity and also on behalf of:

  1. Any business or organisation you represent or that employs you; and
  2. Any other person(s) you register (each a “Relevant Person”).

You warrant that you:

  1. Have the express authority of all Relevant Persons to accept these Terms & Conditions on their behalf;
  2. Have provided a copy of these Terms & Conditions to all Relevant Persons; and
  3. Have the consent of each Relevant Person (who is an individual) to provide their personal information to TheMHS.

Event subject to change

TheMHS will make reasonable endeavours to stage the event as advertised. However, delegates agree that the following may occur without liability to TheMHS:

  1. Changes to the event dates, venue, location, or room allocations within the venue;
  2. Changes to program content, order, or session times;
  3. Changes to speakers and presenters; and
  4. Changes to social program and networking function details.

Where changes occur, TheMHS will use reasonable endeavours to arrange suitable substitutes (subject to availability and circumstances). Notice of substantial changes will be posted on the website and you are responsible for checking for updates prior to the event.

If the event is postponed due to events beyond TheMHS’ control (including force majeure), or not attributable to wrongful intent or gross negligence of TheMHS, TheMHS will not be liable for damages, costs, or losses incurred. TheMHS may transfer your registration to the postponed event. If you cannot attend the new dates, you may request a refund by notifying us no later than 30 days after the originally scheduled date of the postponed event. Any refund will be the registration cost less a 20% administration fee to cover unrecoverable costs already incurred. Any refund is your sole remedy and, to the extent permitted by law, TheMHS has no further liability for any cancellation, rescheduling, variation, or postponement.

Conduct at our event

At all times during the event you must comply with the TheMHS Event Code of Conduct. You must:

  1. Conduct yourself in a reasonable, respectful, considerate, and lawful manner;
  2. Not communicate in an offensive or obscene manner;
  3. If consuming alcohol, do so responsibly;
  4. Not place the health or safety of any person at risk;
  5. Not injure, defame, or damage the property of any person;
  6. Be respectful to speakers and others and not disrupt sessions;
  7. Comply promptly with reasonable and lawful directions of authorised staff, contractors, and venues; and
  8. Ensure each Relevant Person you register also complies.

TheMHS may, acting reasonably and without liability, refuse entry or remove you (and/or a Relevant Person) from the event if these Terms & Conditions are breached or for other reasonable cause.

Disclaimer

  • Presenter content does not necessarily reflect the views of TheMHS and does not constitute therapeutic advice.
  • TheMHS cannot control all content published or disseminated at the event. You are responsible for your interactions and agree to act responsibly and exercise caution.
  • Delegates and invitees must observe the requests and/or directions of TheMHS staff.
  • Delegates are liable for any damage they cause to venues, accommodation rooms, supplier equipment, or organiser equipment, and agree to indemnify the organiser for such damage.
  • To the extent permitted by law, TheMHS and its directors, employees, volunteers, agents, and affiliates are not liable for losses, damages, liabilities, claims, or expenses arising out of or related to the event.
  • You must comply with venue conditions of entry and lawful directions of venue personnel.
  • TheMHS may update these Terms & Conditions from time to time.
